AMREF Kenya- Information and Records Management Assistant- Job Vacancy in Kenya

AMREF Kenya is looking for a qualified and highly motivated individual to join the Information and Records Management team.

The position is based in Nairobi and reports to the Personal Assistant to Country Director.

Purpose of the Job

To identify and catalogue AMREF’s archival information, both in hard and soft copy; and to ensure their maintenance, control, use, security, storage, access and timely availability.

Key Responsibilities
  • Collecting, scanning, organisng and storing AMREF vital records in a systematic manner.
  • Storing in a retrievable manner the historical AMREF records and other archival materials.
  • Assist developing a tracking system that ensures all records kept in safely and are easily retrieved when required and ensuring confidentiality as necessary
  • Assist develop finders guides and registers in both soft & hard copy to provide easy access and retrieval of information as well as information requested
  • Provide consultancy on demand to Programmes and Support Departments
  • Assist in in-house training on Records Management to staff and share skills & ideas that relate to managing records in all their phases & aspects as a way of demonstrating good records management,
  • Share the experience AMREF has had on management of their records with participants of Information and Records Management (IARM) as part of the course curriculum.
  • Preparing monthly, quarterly and annual reports as required.
Qualifications and Competencies
  • The ideal candidate should have a Higher National Diploma in Records Management or its equivalent. A first degree is desirable.
  • At least three (3) years relevant work experience in a busy organization.
  • Excellent ICT skills. 
  • Good experience and knowledge of Records Management and Archiving. 
  • In addition the ideal candidate must have strong written and oral communication skills, be a team player and ability to work with minimal supervision.

Our clients’ activities centre in manufacturing and trading of various items of steel, hardware, electrical, telecommunications and IT products.

Main Responsibilities
  • Data Processing Using Various Utilities
  • Heavily involved in various meetings and will be responsible for providing insights and consultation as to how to best meet the company's goals through the use of technology.
  • planning, organizing and directing data processing activities
  • assesses priorities and needs for operation and enhancement on information systems
  • Plans and directs enhancement of computer systems of the department.
  • Consult others in the assessment of data processing requirements and conducts studies in order to identify means of improving the efficiency of data processing activities of the department.
  • Develops and establishes cost estimates for new software and hardware applications.
  • Plans and evaluates staff work and develops the coordination of work flow.
  • Directs staff in identifying and resolving problems in systems operations such as design, production, LAN, administration, data communications and operation issues.
  • Develops operational policies as well as standards and procedures.
  • Effectively monitors systems documentation and performance.
  • Recommends changes in departmental operations, procedures and policies so the department will take advantage of the technology of information systems, and consequently be able to meet its goals and objectives.
  • Prepares statistical, narrative and fiscal reports related to the department’s data processing operations.
Required Qualifications
  • Bachelor’s Degree in Computer Science/ Information Technology
  • 5 years of experience in responsible systems in data analysis and design, including significant experience in supervisory capacity.
  • 1 year experience involving duties on programming and EDP Systems.
  • Exposure to a Multi cultural environment.
Mandatory Requirements
  • Diploma in IMIS
  • Basic Accounting Knowledge.
  • SME or ERP systems knowledge.
  • Hands on Experience on Management Information Systems.
