The Administrative Associate reports to the Head of Country Office for guidance and is responsible for performing a variety of finance and administrative tasks and services in the CO ensuring timeliness, accuracy and compliance with UNW rules, regulations, processes and procedures and promotes a client, quality and results oriented approach.

The Administrative Associate works in close collaboration with the Finance Associate in the location as well as with operations, program and other teams in the office and SRO to exchange information and ensure consistent service delivery.

Qualifications and Experience
  • Completion of Secondary education is required. First University Degree in Business or Public Administration or Social Sciences desirable but not required.
  • Minimum of 6 years of experience in administration is required, in a large corporation or organization is required.
  • Experience in the usage of computers and office software packages (MS Word, Excel, etc) and advanced knowledge of spreadsheet and database packages, experience in handling of web based management systems.

About the position

The Project Assistant will be charged with the responsibility of assisting project leaders with the administrative and logistical management of projects in the East African (EA) region. He/she will report directly to the project leaders but will be under the supervision of the Programme Administrator. The position will be based at the EA regional office located at ICRAF Headquarters in Nairobi.

Duties and responsibilities

·         Assist in execution and monitoring of project activities in liaison with project leaders
·         Processing of project payments to partners
·         Following up with the project Finance Assistant to ensure that quarterly project reports are done in a timely manner and expenditures are a reflection of approved budgets
·         Assisting in compiling donor reports while complying with donor reporting requirements
·         Drafting letters/reports, scheduling appointments and providing support in development of presentations and public awareness materials
·         Making logistical arrangements for seminars, workshops, study tours, conferences and coordinating travel arrangements for incoming and outgoing missions
·         Liaising with procurement and finance offices for timely purchase of project goods and services
·         Any other related duties as assigned by the supervisor.

Requirements

·         Bachelor of Business Administration/Social Degree or relevant degree
·         A Post Graduate Diploma in project management will be an added advantage
·         At least 3 years’ experience in project administration
·         Good understanding of budgeting and financial management procedures
·         Proficiency in database applications and MS office suit
·         Experience in an NGO or international organization environment will be an added advantage
·         Must be a Kenyan citizen.

Organizational background

The World Food Programme Somalia activities include food assistance relief, emergency school feeding, humanitarian air and logistics services, food coordination and emergency rehabilitation projects.

Major Duties and Responsibilities:

Under the general supervision of the Senior Administrative Assistant and the overall supervision of the Administrative Officer the Senior Administrative Assistant will carry out the following duties;
  • Organize and facilitate the administrative work of the office including the establishment of internal procedures and tracking systems for correspondence and documents;
  • Prepare and maintain a selected number of administrative control records, and automated reports related to fuel consumption, vehicle maintenance and vehicle stock cards, for both Country and Area Offices in Somalia;
  • Verify that works are done in accordance with corporate standards and within established deadlines;
  • Respond to complex queries from a variety of sources by producing targeted information or by re-directing to the most appropriate source;
  • Review correspondence or information materials relevant to the area of work prepared by other support staff;
  • Prepare and/or consolidate complex reports, documentation including the production of forms, tables and charts, prepare complex correspondence, briefing notes and other documentation as requested;
  • Prepare and maintain service contracts, including auditing invoices against the goods and services provided, processing and monitoring of payments;
  • Guide, train and daily supervise junior support staff engaged in the different administrative services including statistics, finance, programme, human resources activities and/or other related areas;
  • Undertake field missions or maintain contacts with WFP’s field offices to provide administrative assistance and guidance.
  • Perform other related duties as required.
Minimum Qualifications

Education:
  • Secondary school education.
  • Training in administrative field supplemented by commercial or related courses is desirable.
Experience:
  • At least five years of progressively responsible work experience, including at least three years in administrative services. 
  • At least one year at G5 level or equivalent.
Language:
  • Fluency in both oral and written communication in English.
Knowledge: 
  • Experience utilizing computers, including word processing, spreadsheet and other WFP standard software packages and systems. 
  • General knowledge of UN system administrative policies, rules, regulations and procedures.

Project Director/ Chief of Party - jobs in Kenya

The Elizabeth Glaser Pediatric AIDS Foundation (EGPAF) is one of the world's largest organizations working in the prevention and treatment of HIV/AIDS and is the leading organization in the prevention and treatment of pediatric HIV/AIDS. In Kenya, EGPAF works with international donors, national stakeholders, and non-governmental organizations to deliver high quality health services to populations most in need. EGPAF is seeking a Chief of Party (COP) / Project Director for anticipated released of a USAID-funded National Level Service Delivery Project. The position is contingent upon award of the proposal.
Essential Duties and Responsibilities The COP will provide management, programmatic, and technical leadership for project implementation . The COP will be responsible for the overall strategic and programmatic direction of the project, including financial, administrative, operational support, and management. The COP will report to EGPAF- Kenya's Country Director, and will be responsible for the oversight of project activities driving the delivery of results for the donor.
Required Qualifications
·        MPH, MD, MBA, or similar degree/education level.
·        Experience managing large donor-funded projects, delivering results against a complex set of programmatic activities, experience in Kenya is a plus
·        At least ten years successful experience managing US government grants or cooperative agreements with particular experience with PEPFAR and GHI an asset.
·        Demonstrated experience in managing a team of professional project staff.
·        Fluency in English.
EGPAF will also be seeking qualified candidates to fill additional anticipated project positions, including Operations Manager, Finance Manager, and Technical Advisors in HIV/AIDS, Maternal and Child Health, Nutrition, heath system Strengthening and other areas.
