Chemonics / Kenya Pharma Administration & Operations Specialist Job vacancy in Kenya

Chemonics / Kenya Pharma is a USAID funded project that seeks to establish and operate a reliable, sustainable pharmaceutical supply chain management system.

Its aim is to forecast, procure, store, and distribute drugs, supplies, and equipment needed for the care and treatment of persons with HIV / AIDS in Kenya.

Chemoics / Kenyapharma has the following vacancy.

Position Title: Administration & Operations Specialist

Location: Nairobi

Position Description:

The Administration & Operations Specialist will work closely with the HR Specialist and the Logistics Officer.

He/she will assist the Operations Director in ensuring timely provision of project administrative and operational services to support the implementation of Kenya Pharma
project, including in the areas outlined below:

Specific Duties & responsibilities;
  • Compliance: Assist the Operations Director in ensuring that the Nairobi and field offices function according to Chemonics policies and procedures, USAID regulations and GoK laws, regulations and practices;
  • Assist the HR Specialist in ensuring that all aspects of Human Resources Management are undertaken in compliance with USAID, Chemonics and GoK regulations;
  • Inventory Management: Developing and maintaining a detailed inventory record of all project resources, including tracking any new additions, write-offs/disposals, movement across offices (and officers), tagging and periodic physical verifications;
  • Managing office consumables. He/she will monitor the usage of supplies and consumables (toners/stationery, etc) ensuring these are expended judiciously and avoiding any stock-outs;
  • Physical facilities management: Manage the leasing and maintenance of offices and residences used by the project, both in Nairobi and in outer provinces;
  • Filing: Oversee the management, development and maintenance of an up to date filing system in electronic and hard copy format for technical, financial and administrative documents and will also assist in the conduct of non-financial file audits of all project offices
Qualifications
  • Bachelor of Commerce, or related business Degree from a recognized University (or equivalent combination of education and relevant work experience).
  • Experience working with US Government grants. Good knowledge of USAID rules and regulations.
  • Above average functional knowledge of Excel and Ms.Office
